Primary Responsibilities for Part-Time MAC Assistant
* Data input into MIP accounting software. Ensuring all accounting source documentation, including but not limited to accounts payable invoices, cash receipts, journal entries, void check requests, and credit memos are completed with accuracy.
* Reviews coding sheets and other source documentation for reasonableness and notifies MAC affiliates of potential errors.
* Prepares standard and custom reports from MIP for affiliates as requested.
Support the preparation of 1099’s, 990’s, audit packages, quarterly 941 reconciliations, benefits reconciliations, semi-annual sales tax refunds and more.
* Participates in on-going trainings/initiatives of the program and organization.
* Participates in audits and monitoring’s by gathering necessary documentation for any affiliates in need of assistance.
* Serve as a point of contact between MAC Accountants and the funded agencies, facilitating communication and ensuring that all parties are informed of necessary updates or changes.
* Monitor changes in accounting regulations and guidelines that affect the agency and inform the team of necessary adjustments to policies and procedures.
* Assist in organization and maintain all accounting-related documentation, ensuring easy access for audits and compliance checks.
* Identify areas for improvement within the accounting processes and propose solutions to enhance efficiency and accuracy.
* Providing assistance with basic technical support for MIP issues, escalating more complex issues to IT or software support as needed.
* Participate in special projects related to accounting and finance, including system upgrades or implementation of new accounting practices.
* Address inquiries and provide support to affiliates regarding their accounting needs, fostering a collaborative relationship.
* Assist with coordinate schedules for meetings, training, and audits, ensuring all stakeholders are informed and available.
* Ensure the confidentiality of sensitive financial information and compliance with data protection regulations.
* Various other duties and special projects may be assigned.
Associate’s degree or higher in Accounting, Business Administration, or a related field is preferred.
