Position Overview
ACJS is seeking a part-time bookkeeper with nonprofit association experience to serve as a collaborative working partner to our Executive Director and Association Manager. This is not an accounting or CPA role — those services are already in place. We are looking for someone who can manage day-to-day bookkeeping with accuracy and consistency, and who welcomes a hands-on, collegial relationship with staff.
Current Technology Stack
Familiarity with the following platforms is preferred:
• QuickBooks Online (bookkeeping and check issuance)
• Melio (bill pay and direct deposit)
• Gusto (payroll)
• Hubdoc (document storage and processing)
• GrowthZone (membership management platform with QBO integration)
We are open to discussing alternative tools and approaches.
Scope of Work
The bookkeeper will manage two sets of books: one for the ACJS parent organization and one for each of our 13 affiliated sections. Section books involve a small number of transactions annually (e.g., award plaques, event food and beverage, travel awards); section funds are restricted and held by ACJS on their behalf.
Key deliverables include:
• Timely and accurate financial statements (quarterly reporting is acceptable)
• Two annual budgets prepared in advance of the annual conference: an overhead/operating budget and a conference budget (requiring careful allocation of hotel master bill line items)
• Assistance with annual audit preparation
• Ongoing reconciliation across approximately a dozen bank and investment accounts
