Position Summary
The Bookkeeper provides financial oversight, compliance management, and operational support to ensure strong financial systems and governance.
Working closely with the CEO and Board Treasurer, this role oversees financial reporting, budgeting, payroll administration, audit preparation, and regulatory compliance. The Bookkeeper also coordinates with external partners, including auditors, payroll providers, insurance brokers, and benefits administrators.
This role does not function as a full HR department but ensures proper employment records and compliance infrastructure are maintained.
The organization operates with an annual budget of approximately $600,000, funded through individual donors and earned revenue.
This is a hands-on role suited for an experienced nonprofit finance professional who values mission-driven work and can balance strategic oversight with practical execution.
Key Responsibilities
Financial Management & Reporting
Oversee accounting operations, prepare monthly financial statements and reconciliations, maintain the general ledger and chart of accounts, and ensure strong internal controls and documentation.
Budgeting & Financial Planning
Support the annual budgeting process, monitor financial performance, and provide insights to inform decision-making.
Audit & Compliance
Serve as liaison to auditors, coordinate audit preparation, ensure timely IRS and state filings (including Form 990), and maintain audit-ready records.
HR & Payroll Support
Maintain personnel records, support onboarding, oversee payroll through ADP, review payroll tax filings, manage benefits administration, and ensure multi-state compliance as needed.
Accounts Payable & Revenue Oversight
Oversee vendor payments, ensure proper documentation, and monitor incoming revenue streams.
Vendor & Administrative Oversight
Manage relationships with financial partners and maintain compliance calendars and key deadlines.
