As our Financial Administrator, you will be responsible for maintaining accurate financial records, overseeing accounts payable and receivable, and preparing timely financial reports. In addition, you will also be responsible for onboarding new clients, keeping track of all flat-fee payments and retainers, as well as collecting unpaid invoices. The ideal candidate has a strong grasp of debits and credits, a solid understanding of corporate accounting principles, knowledge of Quickbooks, and an eye for detail.
Key Responsibilities:
Accurately record all financial transactions, including debits and credits, in the general ledger
Reconcile accounts and balance sheets regularly to ensure financial accuracy
Prepare biweekly trust balance reports for clients and respond to trust balance requests
Receive payments, close invoices, and generate credit memos
Input billable hours into the system and ensure accuracy for client billing
Manage biweekly billing cycles by inputting attorney time and generating invoices
Identify and resolve discrepancies in financial records through thorough reconciliation
Reconcile and close each month’s books.
Prepare Letters of Engagement and onboard new clients.
Other administrative tasks, as assigned by the firm’s partners.
Qualifications:
Proven experience in an administrative role, preferably in a professional services or legal environment
Strong knowledge of accounting principles and general ledger systems (Quickbooks a plus)
Proficient in balance sheet reconciliation processes
High attention to detail and commitment to accuracy
Excellent time management and organizational skills
Strong communication and interpersonal skills
Trust account management (plus)
